CANCELLATION & REFUND POLICY

1. Introduction

This Cancellation & Refund Policy explains the cancellation, amendment, no-show and refund conditions that apply to travel services booked through I LOVE VOYAGE LTD, trading as I Love Voyage ("I Love Voyage", "we", "our" or "us").

This policy applies to bookings including, but not limited to:

  • Flights
  • Hotels and accommodation
  • Car hire
  • Airport transfers
  • Tours, activities and attractions
  • Travel packages
  • Visa-related services
  • Travel insurance
  • Ancillary services and travel extras

By completing a booking, you confirm that you have reviewed and accepted the cancellation and refund conditions displayed during the booking process before selecting “Book Now”, “Pay”, “Confirm” or equivalent.


2. Your Booking-Specific Conditions

Every booking has its own cancellation, amendment, no-show and refund conditions.

These conditions are displayed during the booking process and may depend on the airline, hotel, car-hire company, transfer operator, tour provider, fare, rate, ticket type or other supplier selected.

Once a booking has been confirmed, the conditions applicable at the time of booking cannot be changed retrospectively.

Where booking-specific conditions differ from this general policy, the booking-specific conditions will apply, subject always to your rights under applicable law.


3. Our Role

I Love Voyage generally acts as a travel intermediary or booking agent between customers and third-party travel suppliers.

Suppliers may include airlines, hotels, accommodation providers, car-hire companies, transfer operators, tour and activity providers, insurance providers and other travel service providers.

Unless we are expressly identified as the organiser or principal for a particular service, the supplier's applicable booking conditions will govern the performance, cancellation and refund of that service.


4. Cancelling a Booking

Cancellation requests should be submitted as soon as possible and before the scheduled commencement of the service.

Submitting a cancellation request does not automatically mean that the booking is refundable.

Any cancellation or refund remains subject to:

  • The supplier's cancellation rules;
  • The fare or rate purchased;
  • The cancellation deadline;
  • Supplier cancellation penalties;
  • Non-refundable components;
  • Any applicable administrative charges; and
  • Applicable law.

A cancellation is not guaranteed until it has been processed or confirmed by the relevant supplier.


5. Refund Eligibility

A full or partial refund may be available where:

  • The fare, rate or booking conditions permit a refund;
  • The supplier accepts the cancellation;
  • The supplier cancels or is unable to provide the booked service;
  • A duplicate payment has been taken;
  • A booking cannot be fulfilled; or
  • A refund is otherwise required by applicable law.

The amount refundable may be reduced by supplier penalties, non-refundable components and any applicable charges disclosed to you.


6. Non-Refundable Bookings

Some fares, rates and travel services are sold as non-refundable.

Where the booking was clearly identified as non-refundable before confirmation, no refund will normally be payable following a voluntary cancellation, except where the supplier's conditions or applicable law provide otherwise.


7. No-Shows, Missed Departures & Unused Services

Unless expressly stated otherwise in your booking conditions:

No-shows, missed flights or departures, late arrivals, early hotel checkouts, unused rental days, missed transfers, missed tours, voluntary early departures and wholly or partially unused services are non-refundable.

Failure to arrive at the required place by the specified check-in, collection, departure or meeting time may be treated as a no-show by the supplier.

Where permitted by the supplier, certain unused taxes or charges may still be recoverable.


8. Flights

Airline cancellations and refunds are governed primarily by the fare conditions and airline rules applicable to the ticket purchased.

Many discounted fares are non-refundable or subject to cancellation penalties.

If an airline cancels or significantly changes a flight, available remedies may include a refund, rebooking, credit or alternative travel arrangements depending on the airline's rules and applicable passenger-rights legislation.

Missing a flight or failing to check in on time may result in the entire booking, including onward or return sectors, being cancelled by the airline.


9. Hotels & Accommodation

Hotel cancellation conditions vary according to the property and rate selected.

Non-refundable rates generally cannot be refunded following voluntary cancellation.

Early departure, late arrival, failure to check in or unused nights will normally be non-refundable unless the property's booking conditions expressly provide otherwise.

Customers are responsible for checking the property's cancellation deadline and local check-in requirements.


10. Car Hire

Car-hire refunds are subject to the conditions of the selected rental company.

Customers are responsible for meeting requirements relating to:

  • Driving licence;
  • Minimum or maximum driver age;
  • Security deposit;
  • Accepted payment card;
  • Identification documents; and
  • Collection time.

Failure to meet the supplier's rental requirements may result in refusal of the vehicle and may be treated as a no-show.

No refund is guaranteed where the customer fails to satisfy requirements that were disclosed before booking.


11. Airport Transfers

Airport transfers are subject to the transfer operator's cancellation and no-show conditions.

Customers must provide accurate flight, passenger, telephone and collection information.

Failure to attend the designated meeting point, unreasonable delay, incorrect booking information or failure to contact the supplier where required may result in the booking being classified as a no-show.


12. Tours, Activities & Attractions

Tours, excursions, tickets and activities are governed by the individual operator's cancellation conditions.

Certain dated tickets, attraction admissions and activities may become non-refundable immediately after confirmation or after a specified cancellation deadline.

Customers are responsible for arriving at the specified meeting point at the required time.


13. Travel Extras

Optional extras may have separate cancellation conditions.

These may include:

  • Baggage;
  • Seat selection;
  • Priority boarding;
  • Lounge access;
  • Parking;
  • Meals;
  • Insurance;
  • Transfers; and
  • Other ancillary products.

Certain extras may remain non-refundable even where the principal travel service is cancelled. This approach is also expressly highlighted by TravelUp for ancillary travel products.


14. Amendments

Changes to passenger names, travel dates, routes, hotels, vehicles or other booking details are subject to supplier approval.

Supplier amendment charges, fare differences and administrative charges may apply.

Some bookings do not permit amendments and may require cancellation and a new booking.


15. Supplier Cancellation or Disruption

Where a supplier cancels or materially changes a service, available options may include:

  • Refund;
  • Rebooking;
  • Alternative arrangements;
  • Credit or voucher; or
  • Another remedy required by applicable law.

We will assist in communicating with the supplier where appropriate.

A supplier's authorisation may be required before we can issue a refund. TravelUp similarly explains that refund processing can depend on airline or supplier approval and response times.


16. Refund Processing

Where a refund is approved, it will normally be returned to the original payment method used for the booking.

The time required to receive a refund can vary depending on:

  • The supplier;
  • Airline processing;
  • Payment provider;
  • Card issuer or bank;
  • Currency; and
  • The type of travel service.

We will process an authorised refund as soon as reasonably practicable after the relevant funds or authorisation have been received from the supplier.

Supplier processing times are outside our direct control and therefore refund arrival dates cannot be guaranteed.


17. Refund Amount

Where applicable, the refundable amount may be reduced by:

  • Supplier cancellation penalties;
  • Non-refundable fares or components;
  • Services already used;
  • Non-refundable extras;
  • Previously disclosed administrative charges; or
  • Other deductions permitted by the booking conditions and applicable law.

Exchange-rate movements or charges imposed independently by a bank, card provider or payment provider may also affect the final amount received.


18. Visa Services

Visa application charges, government fees, embassy charges and processing fees are generally non-refundable after processing has begun unless otherwise permitted by the relevant authority or service provider.

Payment for a visa service does not guarantee that a visa will be issued.


19. Travel Insurance

Travel insurance is subject to the insurer's own policy wording, eligibility requirements, cancellation rights and claims procedures.

Customers should review the insurance documentation carefully.


20. Packages

Where a booking qualifies as a package under applicable UK package-travel legislation, customers may have additional statutory rights.

Nothing in this policy excludes, restricts or overrides any rights that cannot legally be excluded or restricted.


21. Extraordinary Circumstances

Travel may be affected by events outside our reasonable control, including severe weather, natural disasters, government action, strikes, airport closures, public health emergencies, civil unrest or other extraordinary circumstances.

Refunds, credits, rebooking or other remedies in these situations will depend on the applicable supplier conditions and any rights provided by law.


22. Chargebacks & Payment Disputes

If you believe you are entitled to a refund, we encourage you to contact I Love Voyage first so that we can investigate the matter and, where appropriate, raise the request with the supplier.

Initiating a payment dispute does not itself alter the underlying booking or supplier cancellation conditions.

Nothing in this section affects any legal rights you may have with your card issuer, payment provider or under applicable consumer law.


23. Before Cancelling

Before submitting a cancellation request, customers should check:

  • The cancellation conditions shown on their booking confirmation;
  • Whether the booking is refundable or non-refundable;
  • The applicable cancellation deadline;
  • Supplier cancellation charges;
  • Whether any extras are separately refundable; and
  • Whether amendment or rebooking may be preferable to cancellation.

24. Customer Responsibility

Customers are responsible for reviewing all names, dates, destinations, flight details, accommodation details, vehicle requirements and other booking information before completing payment.

Please contact us immediately if you identify an error.

Changes after confirmation may not be possible and may result in supplier charges.


25. Your Statutory Rights

Nothing in this Cancellation & Refund Policy is intended to exclude or restrict rights available to consumers under applicable UK law or other mandatory legislation.
